Document version control

Version control helps distinguish the current record from earlier states while preserving useful history around how a document changed.

Filename conventions are fragile

Names such as FINAL, FINAL2 and REALLY-FINAL depend on every user following the same informal convention. Managed version history makes the relationship between revisions explicit.

Context matters as much as the file

Ownership, document type, status, approval and dates help explain whether a version is draft, approved, superseded or awaiting action.

Version control and approvals solve different problems

A version records a state of the document. An approval workflow records a decision around it. Combining both can make the operational history much clearer.
